Planning events takes a lot of organisation, effort and time. It’s best to start as early as possible and give yourself a checklist so you don’t miss important elements. 6-12 months before the event

2 months before the event

1 week before the event

  • Do a final registration check of names
  • Brief your team and volunteers about their event duties
  • Finalise the seating plan
  • Inform the caterer of final numbers
  • Make copies of any speeches, videos or presentations
  • Identify where photo opps and interview opportunities will be

1 day before the event

  • Ensure all signage is in place
  • Do an audiovisual test
  • Ensure registration and guest tables are prepared or decorated

The day of the event

  • Have copies of all important documents, phone numbers, information and seating charts for the event team
  • Ensure the event is running to plan and manage any issues as they arise

After the event

  • Send thank you notes or emails to attendees and sponsors
  • Post event photos on social media
  • Conduct a post event evaluation to assess the event’s success against your initial goals and objectives

AVPartners has appointed Daniel Naidoo as Operations Manager at Crown Perth.

The role will see Mr Naidoo manage a team of operational staff and crew at the MICE destination to ensure seamless and successful events.

Mr Naidoo will be responsible for driving performance, productivity, efficiency and profitability in the operations department.

Mr Naidoo has nearly ten years’ experience in operations as a supervisor at BHP Billiton and Ecowise Environmental. Prior to this Mr Naidoo was an audiovisual Technical Director at Hyatt and the Burswood Entertainment Complex.

Leading audiovisual service provider AVPartners has promoted Ben Davis to Technical Director at Crown Perth. He joins a highly skilled team, alongside fellow Technical Director Joe Reichle at the premium MICE destination.

The role will see Mr Davis and Mr Reichle jointly provide technical production for conferences and events at Crown Perth.

The app, PCEC, integrates social media tools, gamification, surveys and live polls with up-to-date event information to ensure Perth Convention and Exhibition Centre events are accessible and relevant for event attendees online, as well as offline.

Delegates can post updates, tag their location, like and comment on posts and send private messages all from within the app. They can also access up-to-date event documentation, such as programs and flyers, speaker, attendee and exhibitor information.

Using PCEC, event organisers can easily update event information and send targeted push notifications to attendees in real-time. Event sponsors can also benefit through branded content and advertising within the app.

Designed for all smart phones, the app also facilitates reporting on active users and interactions within the app, thanks to a built-in analytics function.

Leveraging the latest in event technology, PCEC is provided through a partnership between AVPartners and American mobile event app developer DoubleDutch.

AVPartners has promoted Erikson Nygaard to Technical Event Coordinator at Perth Convention and Exhibition Centre.

The role will see Mr Nygaard provide assistance in leading an audiovisual team in the planning, direction and execution of events at Perth Convention and Exhibition Centre.

Following a career as a photographer and videographer, Mr Nygaard channeled his interest in vision and multimedia into a career in the audiovisual industry. He started with AVPartners three years ago and has quickly made his mark.

Specialising in lighting operation and design, the role will see Mr Hinschen bring some of Australia’s most high profile events, concerts and shows to life at the picturesque island destination.

Mr Hinschen launched his career in the audiovisual industry with AVPartners three and half years ago. After starting as an audiovisual technician at Hamilton Island he quickly progressed up the ranks.

Throughout his time at Hamilton Island, Mr Hinschen has worked on a number of leading events including Audi Hamilton Island Race Week, Clash of the Paddle, New Years Eve and the Australian Ballet at Qualia.

At 21 years old, Mr Hinschen joins the ranks of a young, ambitious management team that continues to give AVPartners its edge.
